Scope
DeltaSpark is an AI inquiry reception and sales opportunity development system for international trade businesses. This policy describes how the application processes business data when an organization uses its customer, inquiry, follow-up, and AI-assisted intake workflows.
Data used by the system
The system may process account identity and access permissions, customer and contact records, inquiries, follow-ups, internal tasks, and audit records. When a user submits a screenshot or a historical workbook, the original file and the source fragments used for review can also be stored.
Storage and access
Business records are stored in the configured application database. Screenshots, workbooks, and derived source snapshots use private storage: the current deployment defaults to a protected local volume and can be explicitly configured to use a private R2 bucket. The application serves authorized file reads through its own access checks; it does not issue public file URLs.
Access is limited by the user, role, business-unit, and record permissions configured for the organization. AI-generated changes that affect customer records are presented for human review before the application writes them as formal business records.
AI and other configured providers
An organization may configure an AI provider or a personal AI runtime for intake. When it does, only the materials needed for the requested extraction or assistant action can be sent to that configured provider. The provider's own terms and privacy policy apply to that processing. Administrators should review the provider configuration before enabling it for business materials.
Retention and control
The organization operating DeltaSpark decides who can submit, review, export, retain, or remove its business records. Users should contact their organization's system administrator for access, correction, retention, or export requests. Do not upload materials that the organization is not authorized to process.
